We Need YOU

We rely on dedicated volunteers to provide a quality service for the public and to assist the work of staff. If you feel you can give some of your time to help us in the galleries or office, please contact: office@blackswan.org.uk

Volunteering – What’s in it for you?

Recruitment process

  • All volunteers to complete a registration form, with contact details
  • All volunteers will be interviewed – either face-to-face or by telephone
  • Must supply names and email addresses of two referees. The referees will be required to complete an online form and a hard copy by post.

The volunteers will work with several people including:

  • Volunteer Manager
  • Office Manager
  • Curator / Show administrator
  • Project Manager

Opportunities

The volunteers can assist with numerous projects, including but not restricted to:

Stewarding

  • Supervising the gallery, engaging with visitors
  • Selling the art and processing payment
  • Becoming familiar with the artist and their work

Office Documentation

  • Sorting through the office and filing papers
  • Creating a call list
  • Checking the exhibitions list is accurate and distributed

Trustee Minutes

  • Attending trustee meetings to take minutes
  • Typing up the minutes AND an action points list
  • Distributing to all the trustees

Exhibition Set Up

  • Involvement with artists in set-up
  • Recording artworks
  • Labelling and gallery documentation

Events

  • Helping with Previews
  • Helping with refreshments

Recording Events

  • Photography and recording of exhibition set-ups
  • Photography and recording of Preview evenings
  • Photography and recording of workshops, school visits,
  • Photography and recording of tenant activities, shop, café, other activities around the building

Social Media

  • Maintaining the twitter and Facebook pages,
  • Researching and populating with appropriate and regular content
  • Expanding reach
  • Photography

Press Cuttings and Press List

  • Look out for all press, radio and other media coverage
  • Keep a copy of all press coverage and put into a folder
  • Keep a copy of all PRESS RELEASES in a folder, with copies of images

Data Inputter

  • Maintenance of databases including
  • General enquiries
  • Schools
  • Artists – priority
  • Cross-referencing with Newsletter database

Marketing

Producing marketing materials – Leaflet / brochures / posters

  • Writing and designing leaflets including images, etc.
  • Print and production
  • Posters and flyers distribution around BSA and Frome

Specific projects

1000 Postcards

  • Sorting out what is to be done
  • Logging all the cards still left
  • Thanking all the artists who took part
  • Accounting for the money

Art Car Boot

  • Art Car Boot – assisting
  • Artisan Market – assisting

Researching and writing reports and documents

Volunteer Documentation

  • Volunteer recruitment leaflet, with explanation, job opportunities
  • Volunteer registration forms and referencing sheets
  • Volunteer guidelines –
  • Writing the document
  • Designing document, including photographs, illustrations
  • Print and production

Talks and Workshop Developments

  • Involvement in deciding topics
  • Researching content
  • Working with talk giver – will it be a normal delivery., or Q&A, or slides, ….
  • Education programme development, e.g.
  • Education packs
  • Exhibitions (on-site & travelling)
  • Education packs

Running the Round Tower

  • VERY IMPORTANT AND DIFFICULT TASK – needs thought and a clear plan
  • Identifying artists to exhibit in the Round Tower
  • Schedule 18 months hence and inform artists

Other

  • Involved in occasional ‘building’ tidy-ups
  • Recruiting more volunteers
